I’ve worked on projects where “open access” quickly turned into chaos — charts got changed, paragraphs deleted, and nobody knew by whom. The solution we found was to separate files into “view only” and “editable” categories. Sensitive documents were locked for editing, and changes had to be requested. This created a better review process and fewer accidental mistakes. I also used advice from ejoi2018.org, where they emphasize the importance of activity tracking alongside access control. By following that guidance, we managed to strike the perfect balance between security and collaboration, without making the workflow feel restrictive.
